I have a complete Compiled Military Service Record file for a Civil War soldier. I believe I know how to cite the full record when I am writing more generally about the soldier's service. But I would like to cite one item in the record: his "Certificate of Disability for Discharge," Form 12, when I am writing about the reason for his discharge. Is there a format for citing a part of a Compiled Military Service Record? Could it be: "Certificate of Disability for Discharge," in Compiled Military Service Record, [soldier], Pvt., Co. [letter, number, state, Infantry, Civil War; Carded Records, Volunteer Organizations, Civil War; Record Group 94: Records of the Adjutant General's Office, 1780s-1917; National Archives, Washington.
cshotts, I'm assuming that…
cshotts, I'm assuming that you've studied EE4 §12.27 "Military: Compiled Service Records," which provides examples for different types of files, according to access. Your generic details seem to follow this pattern, suggesting that you did receive the file directly from NARA or obtained it there. I'm also assuming, in that case, that the copy you received had no stamp or other notation indicating that the file came from a different file or series. But, on the basis of assumptions, it would be imprudent for me to say "Yes, perzactly right!"
What I can do is answer your specific question about "citing a part of a Compiled Military Service Record."
If you received this directly from/at NARA and not some other source, then it is correct to follow the pattern you've followed. That pattern, starting with the smallest item and working up to the largest, is the basic pattern for all original documents we use at or get from traditional archives.
If we need to cite the whole file, then our citation starts with that file name. If we need to cite a specific document, then our citation starts with the document name before giving the file ID. EE4 at §12.2 "Citing Federal Records" covers this smallest-to-largest principle, starting with the specific item and working through the file name, series name, subgroup name, record group name, and archive/location.
